Overview

Position Summary: Supports the front- of- house operations through administrative support duties Duties and Responsibilities: • Partners with leadership team to review staffing levels and needs on a daily basis and calls available staff as necessary • Partner with Human Resources and Learning and Development to facilitate orientation for new hires at assigned site(s) • Outstate Administrative Coordinators partner with Human Resources to coordinate the I-9 process for new employees • Register employees on timeclock and test to make sure it is correct • Partners with the facilities and IT teams to coordinate and track keys, access cards, etc. • Partner on creating monthly EDT and RN schedule and to ensure training schedules are defined • Provides support to the front desk based on site needs • Partners with compliance to coordinate emergency drills and documents log to record all emergency training/dills • Maintains training documentation within the site • Maintains records of supervision as needed based on site set up • Maintains pest control files coordinates schedules regular training • Coordinates with property manager to maintain design integrity of offices, group rooms and public spaces • Facilitates maintenance and licensing of site vehicle • Coordinates with facilities team on maintenance issues • Partners with other appropriate staff to order supplies/catering for the site and coordinates with property manager regarding purchase of items beyond approved office supply list • Supports the Site Director in administrative tasks as needed • Provides support to other residential sites as needed • Maintains and updates staffing phone lists and email groups. • Drive clients, staff, and supplies in the company vehicle as needed. • Performs other duties as assigned Qualifications: • High school diploma or equivalent required • Must have a valid driver’s license and be authorized to drive. • Bachelor’s degree preferred • Two or more years of experience in an administrative support or customer service role required • Experience creating and managing staff schedules strongly preferred • Current Basic Life Support certification required (American Heart Association) within 30 days from date of hire Minnesota and Ohio • No additional requirements Washington Residential • Washington State Food and Beverage Service Worker’s Permit obtained within 14 days of employment Competencies: • Strong attention to detail and commitment to quality • Solid Interpersonal skills with the demonstrated ability to develop and maintain productive relationships • Demonstrate initiative and exercise good judgement (e.g, in starting tasks, asking questions, identifying and discussing problems, ability to structure own work, stay on task) • Ability to prioritize and adapt to changing priorities • Shows passion for our business, clients, and values Workplace Environment: • Sitting 80-90% and Standing 10-20%. • Working at a computer 90% of the day. • Bending, twisting, kneeling, stooping or crouching when appropriate, on occasion. • Lift, carry, push or pull up to approx. 40 pounds (supplies, etc.)

Qualifications

Required
  • Valid Regular Driver License (DL)
  • High School/GED
  • 2+ years of experience in ANY of the following:
    • administrative support
    • Customer Service (CS)
  • Valid American Heart Association Basic Life Support (AHA BLS)
