Overview

Under general supervision, Business Administrative Specialist II will ensure our assets are accurately tagged and accounted for in all locations through electronic asset tracking. Incumbent will conduct periodic inventories and provide report of findings to management. Employee will provide support for various facilities services, including vehicle and copier fleet programs, and offsite document storage and destruction. Essential Duties And Responsibilities Within a team environment, this position will perform the following responsibilities: • Responsible for inventory assets audits, relocation, and disposal services. 30% o Responsible for accurate periodic inventory of all locations o Enter inventory assets daily into the database o Work with reports used by our divisions and departments for government mandated asset reviews o Team with IT and Finance on new assets tagging and process improvements. o Tag newly received furniture and equipment, and immediately record in agency inventory system. • Responsible for Van Nuys Warehouse upkeep, inventory, and retrieval of items back to HQ. 10% • Maintain agency fleet program. 30% o Assist in vehicle purchase process, including verification of license and insurance. o Process new purchase and renewals of road side assistance. o Oversee scheduling and tracking of vehicle maintenance. • Maintain off site document storage and disposal for the agency, including processing of invoices and scheduling document destruction. 15% • Oversee agency copier and postage usage, provide analysis and reports as requested and scheduled. 15% Non-Essential Duties And Responsibilities These duties include tasks that are required and comprise less than 5% of daily functions for this job:  Provide backup for all sites for the Facilities Department.  Participate in departmental, agency and professional meetings and workgroups, as assigned. • Perform open/ close building duties as needed. • Provide general clerical support and data entry services.  All other duties as assigned. Job Specifications Minimum Required Education: High school diploma or equivalent, AA preferred. Experience: o 3 years of facility support experience o 2 years’ experience handling inventory or asset management, including experience with asset barcode tracking software. Technical Requirements: o Strong proficiency with Microsoft Office products including Word, Excel, Outlook, Visio or other graphic Experience with Microsoft Office products (Word, Excel, Access), Visio and/or other graphic software. Behavioral: o Must have strong analysis skills with ability to identify application problems and creatively troubleshoot software and related work-flow processes to resolve issues quickly. o Excellent logic development and problem solving skills. o Good organizational skills; strong working knowledge of general office procedures. o Good verbal and written communication skills. o Ability to push/pull up to 75 lbs. and lift up to 50 pounds. o Valid California Driver’s License, reliable vehicle, automobile insurance, and clean DMV record o Strong interpersonal skills; the ability to honor confidentiality. o Able to complete projects under tight deadlines even when there are competing requirements and changes in assignments. o Ability to maintain cooperative, diplomatic working relationships with co-workers, supervisors, the public, and vendors; work as part of a team and collaborate with building management company and others responsible for the facility maintenance and safety. Travel: Automobile, current auto insurance, current California Driver’s License and DMV clearance required. Minimal travel required in CA. Work Schedule: M-F regular 8am - 5pm
